Meeting Coordinator Checklist
Welcome! Please follow these guidelines to ensure a successful event at the Capacity Development Training Center.
✅ General Responsibilities
- The Meeting Coordinator listed on this form is the main contact.
- Submit changes or cancellations by email at least 24 hours in advance.
- No-shows may result in a $100 fee and restricted access to the facility in the future.
🪑 Room Setup & Cleanliness
- Staff will set up rooms as requested when possible.
- Do not move furniture without approval.
- Leave rooms clean and in original condition.
💻 Equipment Use, Coordination and Responsibilities
- Coordinate equipment and other needs directly with your presenters. Do not refer presenters to Training Center staff for setup or assistance.
- Users are responsible for setup and operation of any requested equipment.
- Staff support is limited to basic troubleshooting. Review your equipment request carefully. Audiovisual equipment is available for use, but please note that our staff has only basic familiarity with its operation.
- Bring your own laptops and office supplies.
- Users are responsible for the safe operation of all equipment and will be held accountable for any damage that occurs during use.
⏰ Scheduling
- Include setup and cleanup time in your reservation.
- Facility hours: Monday thru Friday, 8 a.m. to 5 p.m. Doors open at 7:30 a.m. for setup.
- Allow 5 minutes at the start of your meeting for a safety briefing.
🚗 Parking Information
- Main parking is on the South side of W. 58th Ave.
- Limited accessible parking is on the East side (rear of building).
- Be courteous to neighboring businesses as they have priority parking in front of their shops.
🍽️ Food Policy
- Catering or brown bag lunches are allowed.
- No potlucks, cooking appliances, or food prep/storage permitted.
🌱 Environmental Practices
- This is a smoke-free facility. Smoking is only permitted in the designated outdoor area on the west side of the building.
- The Training Center encourages recycling and supports practices that reduce waste. Recycling bins are available.
- We welcome your ideas for reducing paper use. Training Center staff can assist you in exploring ways to use technology or other tools to minimize waste at your meeting or event.
